ESS Troubleshooting: Common Issues When Accessing Your Self-Service Portal

While technology has certainly made a number of things easier, it’s also introduced its own set of challenges. Among these problems, there may be one that stands out among the rest: logging in. Yes, just logging in. On paper, it sounds pretty simple: you enter your username or, more often, your email, then your password, and then you hit login. Well, since the introduction of new security features like two-factor authentication, our logins have become much more secure, but it does mean we have lost some of the ease of just logging in. Long and complicated passwords, authentication codes being sent to an email you haven’t used in years, going to change your password just for it to say your password can’t be the same as your old one—these are just to name a few.

With how prevalent technology is, we all can probably relate in some capacity to these situations. At Payday HCM, we understand the stress that can accompany a login that just won’t work. Seeing as we also offer a software solution to our clients, we often are faced with questions and issues when it comes to logging in. These kinds of problems can create a great deal of frustration for both parties involved, not only because they can sometimes be hard to identify but also because, in some cases, the problem was because of something so small but hard to spot. Of course, on the flip side, there’s almost no better feeling than finally solving the problem and successfully getting logged in.

That’s why, in this article, we’ll be covering some common issues that can create trouble for users trying to log in to their employee self-service platform. Since Payday has partnered with and offers the isolved software platform, we’ll mainly be focusing on login issues related to the isolved platform. The issues we’ll cover in this article include:


Incorrect URL, Username, Or Password: Why Is My isolved Login Not Working?

Firstly, we’ll start by going over issues relating to entering your username and password, but the account login is not working.

Solution: Check The Site’s URL

For many different HR software solutions—isolved included—there will be a separate URL for just the company’s website as well as a URL that is specifically used to log in to a company’s self-service portal. Often, it can be easy to confuse the two, considering they likely contain at least one element that is the same between the two (isolvedhcm.com vs. yourcompanyhere.myisolved.com).

Before logging in to your self-service portal, it’s important to verify that the URL you’re logging into is the correct one. One way to prevent this issue from occurring is to bookmark the login page for your organization’s self-service login. If the page you’re logging into looks different than the login page usually looks, it’s likely the wrong one.

Solution: Double-Check Your Username And Password

Yes, it sounds a little like a “turn it off and on”-type solution, but sometimes, just the smallest typo can lead to hours of frustration. It can help when experiencing login issues to take a step back and ensure all of your login credentials are absolutely correct.

If you have manually entered your username and password into the corresponding fields and you have been unable to log in, simply delete everything in each of those fields and type them back in—sometimes, a space might be there that you couldn’t see or something else. If you’re using some sort of autofill, try a similar approach and enter your login information manually.

Two-Factor Authentication: Why Am I Not Recieving My Two-Factor Code?

Ah, two-factor authentication codes. We break down some of the issues you might encounter when it comes to receiving two-factor codes.

Setting Up Two-Factor Authentication

As with any software platform that requires you to log in, a self-service platform will likely also require you to receive some sort of two-factor authentication code. With isolved, you can receive this code either to the email address that is associated with your account or the phone number that is on your account.

Some platforms may also give you the ability to use an authenticator app like Microsoft Authenticator or Google Authenticator in place of receiving a code. Some platforms may also allow you to use the biometric data from your device to log in if your device has these capabilities.

Solution: Recently Changed Phone Number Or Try Another Way

Sometimes, you may need to change your phone number in the isolved platform. You can do this through the self-service portal, but changing it within your account settings doesn’t actually change the number that will receive the two-factor authentication code. You’ll need to contact an administrator with access to the identity server (in the case of Payday, your company’s customer service representative) to update the information in the server.

If you’re still not receiving the verification code to the selected email or phone number, you have the ability to authenticate your login with a different method. When in the screen to enter in the code either from a text or an email, select the option underneath the submit button that says “Choose another method.”

Registration And Account Reset: Logging Into A New Or Recently Reset ESS Account

Finally, we’ll go over some common problems you might encounter when you create a new ESS account or an account that has been recently reset.

Completing Account Confirmation

When creating a new account for an ESS portal, you’ll often receive an email link from your employer to create the account using an activation link. Clicking the link will allow you to enter in all of your information and create your account.

Sometimes, however, there may be an additional step when creating a new ESS account. With isolved, for example, you’ll need to use the activation link to create the account and complete a final email confirmation with an emailed link that is sent in a separate email from the one containing the initial activation link. If you don’t confirm your email address with this new link, you will be unable to log in.

Recently Reset ESS Account

Some ESS platforms will allow employers or administrators to reset ESS accounts. When doing this through isolved, employees will be sent an email with instructions for logging into their newly reset accounts, including a reset link.

However, there is other information contained within this email that is important for being able to log in to the reset account. Employees will also need the temporary security answer as well as the verification code contained within the email to log in. What this process looks like and whether it can be performed will vary between platforms.

Ensure Your Login Process Goes As Smoothly As Possible

Logins can be a real headache. Between remembering which password you used for what website, receiving different verification codes, and working with online customer support to try and resolve any issues, sometimes even the simplest of processes can lead to hours and hours of frustration. This is on top of the fact that if you’re unable to log in to whatever it is you’re trying to log in to, you’re likely not any closer to being able to finish what it is you initially set out to finish. Ensuring you can resolve any login-related issues quickly and efficiently can be crucial for maintaining efficient business processes. With the tips provided in this article, you can be sure that you’ll be able to tackle a whole host of problems that may come your way.
