HR Best Practices: 5 Tips to Streamline Your Onboarding Process in 2024

December 29th, 2023 | 3 min. read

By Kristi Feist

In 2024, streamlining your onboarding process is more important than ever. Not only is it key to ensuring that new employees know what to expect when they work with your company, your onboarding process can have a significant impact on overall employee satisfaction and retention.

The Benefits of a Streamlined Onboarding Process

With a streamlined onboarding process, you can:

  • Decrease the cost of onboarding a new employee. With a streamlined onboarding process, you'll see less wasted money and time.
  • Get new employees up and running faster. The sooner you get your employees up and running, the sooner they can start taking care of your business and start contributing to achieving bigger success.
  • Ensure that employees have access to all the information they need to successfully navigate their new roles. Ultimately, that means enhanced employee satisfaction and better odds that they will stick with the job long-term, which can further reduce costs caused by turnover.

A clunky onboarding process can leave your employees floundering. By streamlining it, you can enhance their overall success in their future roles.

Tip #1: Evaluate Your Current Onboarding Process

Take a close look and evaluate your current onboarding process and system. Consider where there are potential delays in the process. For example, if you notice that employees regularly get bogged down while learning how to use a specific system or that they often stall in the process as they complete a specific task, evaluate why. What is the bottleneck? Can you introduce a new method to streamline that process and ensure more effective onboarding?

Tip #2: Start Onboarding Communication Early

You do not want to put unnecessary strain on employees while they are wrapping things up in their last position or expect them to work off the clock. However, you do want to start communicating with new employees as early in the process as possible. Share details like:

  • Reminders of their start date
  • Dress code information
  • First-day expectations
  • Their schedule, including open office hours
  • Company policies that the new hire needs to know
  • Information about parking

Early communication means that they know what to expect when they join the company and that they're ready to get moving their first day in a new role. Providing access to an online HR system or key documentation online can provide employees with all that essential information.

Tip #3: Use the Right Onboarding Software

Onboarding software is an essential piece of technology that facilitates the addition of new hires to your team. Choosing the right onboarding software is a critical part of ensuring that you are able to effectively onboard your new employees. Onboarding software can:

  • Ensure that you capture all key employee information. When you take care of onboarding manually, you can miss important information that could later interfere with payroll and more.
  • Make sure employees go through all vital steps in a streamlined and automated onboarding process, from filling out all paperwork to receiving critical information.
  • Ensure that employees receive the same onboarding process no matter when they come onboard or who is responsible for their training.

With the right onboarding software, you can take employees through the process much more effectively and ensure that they do not miss out on any vital information.

Tip #4: Automate What You Can

As you utilize your onboarding software to its full capacity, you'll often find that you're able to automate many essential onboarding tasks. Your software can prompt employees to take care of paperwork, provide them with necessary training, and ensure that they have taken care of many of the tasks associated with settling into a new position. By automating the onboarding process, you free up your current employees and prevent new employees from missing out on anything.

Tip #5: Institute Regular Check-Ins

Even if you're automating much of the onboarding process, make sure you're still checking in with new employees on a regular basis. Keep the lines of communication open. Make sure they have everything they need, and give them the opportunity to ask questions. It can be helpful to assign a mentor in the early days so that an employee has a contact they know they can connect with when needed.
